The Role
Reporting to three Directors, the Executive Assistant provides high level administrative, secretarial and executive support services, including diary management, travel arrangements, coordination of ministerial requests, correspondence, briefs and various reports.
The position has the following key accountabilities but not limited to:
- Provide confidential, high-level executive support services to the group, including managing diary, workflow and other office support services.
- Support the work groups with administration support to ensure the smooth operations of Invest Victoria processes such as accounts payable, stationary and other consumable requirements.
- Assist with coordination tasks, including managing the briefing process and provide leadership, guidance, advice and technical support.
- Coordinate briefs and workflows to ensure they are delivered within the time frames set and liaise with branch heads to ensure compliance with appropriate formats and processes.
- Provide support to the office by managing document storage and tracking and by maintaining relevant records relating to staff movements.
The Team
The position of Executive Assisstant forms a part of the Invest Victoria branch in the Global Victoria group.
Invest Victoria is the Victorian Government's key economic development agency which is responsible for: setting investment strategy for the State and guiding its implementation; attracting and leading foreign direct investment opportunities; leading investment opportunities of state significance; providing information, support and facilitation services for investors; leveraging additional economic development benefits and investment outcomes from a range of government activities such as procurement; enhancing whole-of-government mechanisms (such as facilitation services and financial incentives); identifying and advising on areas to improve business investment environment; and managing and coordinating the State's investment pipeline.
